Onboarding as an Ongoing Process

Finding the right talent is a challenge, so when you hire someone new, it's essential to help them adjust smoothly. Onboarding is a team effort that involves human resources, managers, company leaders and co-workers. A strong process not only helps employees feel valued but also improves retention and productivity.

A successful onboarding plan should cover both administrative tasks and cultural integration. Here are the key elements of a strong onboarding program:

Paperwork and policies. New employees should receive a welcome packet that includes:

  • A welcome letter from leadership.
  • Required forms, such as tax documents, direct deposit setup and any confidentiality agreements.
  • The employee handbook, which outlines company policies, expectations, benefits and legal requirements.

After reviewing the handbook, employees should sign an acknowledgment form to confirm they understand company policies.

Training and technology access. To set new hires up for success, provide them with:

  • The necessary hardware and software, coordinated in advance with the information technology team.
  • Training materials and access to required courses.
  • A schedule for any job-specific training sessions.

Cultural integration. Beyond logistics, onboarding should help new employees feel they are already part of the team. This can include:

Ongoing support

Regular check-ins during the first 60 to 90 days give new hires a chance to ask questions; they also give you the opportunity to address any concerns. Encouraging open communication helps employees feel supported during the stressful first months of a new job.
